By default, when a user accesses their BU email account via a web browser, you can only view a single email mailbox account at a time. This is different than the desktop MS Outlook client, which can show the entire mail structure for your personal mailbox alongside any other shared mailboxes that you have permissions to.

 

Mailbox Stored on Exchange Online (aka Microsoft365 Webmail)


You will need to follow these steps if you sign in via webmail.brandonu.ca. If you sign in using exchange.brandonu.ca then go to step B for the exchange owa system.


There are two options:

  1. You can view the shared mailbox separately (Single Mailbox View)
  2. You can attach the shared mailbox to your BU account and view only the Mail messages, in the same way that you see them within the Outlook Desktop Client app. (Simultaneous View


For Single Mailbox View:


This method will give you the full access properties entirely to the Shared/Secondary Mailbox account; 

  • Email Folders
  • all Calendar and Contact Folders and Objects
  • Auto-Reply settings
  • Inbox Rules
  • Access for Sharing secondary Calendars with other BU Users 

 

  1. First sign into BU Exchange Online / Office365 'Webmail' using the web address https://webmail.brandonu.ca   Log in with your BU email address and BU password.
  2. Click on your account's initials which will appear in a circle near the top right corner, seen in the image below.
  3. Click the link that states 'Open Other Mailbox'
  4. Within the pop-up box, type in the BU email address for the shared mailbox you have been granted access to, and click "open"
  5. The screen should update, and the abbreviated initials of the Shared Mailbox account should now be visible in the upper-right corner of the same screen 


You can switch back to your own mailbox by performing the same steps 2 through 4 as above.






For Simultaneous View:


Please note that this only provides access to view the Mail Messages of a Shared/Secondary mailbox, from within your personal Outlook Web Access session.  All other customizations or changes for the account must be performed via the Single Access View 

  1. First sign into BU Exchange Online / Office365 'Webmail' using the web address https://webmail.brandonu.ca   Log in with your BU email address and BU password.
  2. On the left side where it says "Folders" right click on "Folders" and choose "add shared mailbox"
  3. Enter the email address of the shared mailbox when it prompts you and click "add."
  4. Expand the new shared set of folders to view the contents. 
  5. You can remove this at any time from your mailbox by right-clicking on the shared folder name and selecting "remove shared mailbox"
